Music for a New Gym: A Checklist Before Opening
Opening a new gym? Get music rights, sound equipment, playlists and staff routines ready in time with Vibeful's practical checklist for gyms in Finland.
Plan your new gym's music as part of the preparations for opening day. Before your first customers arrive, confirm the music rights, check that the sound system works in every area where you need it, and make sure staff can start and manage playback.
A good opening-day music plan answers five questions: What will you play, where will it be heard, which rights do you need, who is responsible, and what happens if something stops working? This checklist helps gym owners prepare to open a new gym in Finland.
When should you start planning your gym's music?
Include music in your plans as soon as you know how the spaces will be used and when the gym will open. If you need to install speakers or cabling, coordinate the work with the rest of the fit-out.
The schedule below is a suggested preparation timeline. It is not an official license processing schedule or a guaranteed installation lead time.
| Timing | What to do |
|---|---|
| 2–4 weeks before opening | Map out how you will use music, clarify the rights, and choose a service and equipment. |
| 1–2 weeks before opening | Install and test the sound system. Prepare your first playlists and staff instructions. |
| 2–3 days before opening | Rehearse a normal day's operation and the opening-day programme. |
| On opening day | Check playback, volume levels, staff responsibilities and the procedure for interruptions. |
1. Decide where and how you will use music
Create a simple music plan on your floor plan. Mark the reception, gym floor, any group exercise studios and other spaces where you want music.
For each area, record:
- Will music play in the background or accompany instructor-led exercise?
- Does the area need its own playlist or volume control?
- What hours will music play?
- Who can change the music or settings?
Conversation should be easy at reception. On the gym floor, you may want a more energetic atmosphere. If the same room hosts different activities, plan the transitions between them.
Review the opening programme separately. Speeches, taster classes and any performers affect both your playback arrangements and the rights you need to check.
2. Confirm music rights before opening
Ask your music service for written confirmation of what its agreement covers in Finland and what you need to arrange separately. Keep the response with your contract.
Musiikkiluvat's Taustamusiikki kuntosalissa license covers background music in customer areas of gyms and fitness centres. It applies to an individual location, with pricing based on the customer floor area. Check whether it is appropriate for your chosen music and use. Source: Musiikkiluvat – Background music in gyms
Check instructor-led exercise separately. Musiikkiluvat offers a separate license for this use, with pricing based on weekly classes and the size of the exercise space. If you broadcast classes online, check the streaming rights too. Source: Musiikkiluvat – Background music for instructor-led exercise
If your opening includes a DJ or live performer, check the event's rights separately. Musiikkiluvat's background music license for individual events does not cover live music or DJ performances. Source: Musiikkiluvat – Background music for individual events
3. Choose a music service and work out the costs
Base your choice on everyday life at your gym: opening hours, spaces, customers and staff routines.
Vibeful is a music service for businesses, with its own music created for business use. When considering Vibeful for your new gym, discuss your needs and confirm the current contract terms, music rights and technical requirements before deciding.
Include separate budget items for:
- the music service subscription and any separate music licenses
- a playback device, speakers, amplifier and installation
- internet access and any additional costs for controlling music in different spaces
- any extra sound equipment or entertainment for the opening.
Separate one-off purchases from ongoing costs. This gives you a clear view of the monthly music budget alongside your opening expenses.
4. Test the sound where your customers will be
A working playback device does not tell you how the music sounds throughout the gym. Walk through every customer area while music is playing and listen at different distances from the speakers.
Check the following:
- Is the sound evenly distributed, or are some spots uncomfortably loud or almost silent?
- Can people speak normally at reception?
- Can customers hear the instructor and any necessary announcements?
- Does music carry into spaces where you want a quieter atmosphere?
- Does playback remain stable throughout a normal working day?
Test with the ventilation and exercise equipment running too. Use the same devices and connections you will use on opening day. Arrange any fixes with your installer before the final day of preparations.
5. Prepare music for different parts of the day
Start with a few clear music choices. For example, you could plan for a quieter morning, a busy afternoon and the final hours of the evening.
During the opening, be ready to lower the volume or pause the music. Mark speeches and demonstrations in the programme beforehand.
Listen through your selections before opening. Consider whether the energy, any lyrics and the transitions between tracks suit your gym's atmosphere. If you want to schedule music, confirm that your chosen service supports it and test it in practice.
6. Rehearse what happens during an interruption
Before opening, run through the full start-up routine: open the premises, turn on the equipment, start the music and move to the next item in the day's programme.
Also test what happens when the internet connection drops or the playback device restarts. Find out in advance how your chosen service behaves without a connection and what any offline playback requires.
Write a short procedure for interruptions. If you have a spare device or another backup playback method, test it and confirm that you have the rights to play its music too.
7. Give staff a one-page guide
The music needs to work even when the person who installed the system is not there.
Include the following in your staff guide:
- how to start and stop the music
- how to adjust the volume in each area
- which music to use at different times
- who can make changes and how access is granted
- how to report a problem and who to contact for help.
Assign a person responsible for music on opening day, plus a backup. Ask both of them to try following the guide in practice.

Frequently asked questions
How far ahead should you arrange music for a new gym?
Start when you know how the spaces will be used and your opening date. Allow time to clarify rights, obtain equipment and test the setup on site. The 2–4-week schedule above is a planning example; a larger installation may need more time.
Does a new music service require new speakers?
Not necessarily. Check your existing sound system's connections and the music service's playback device requirements. Test that the equipment works together before buying anything new.
Can the music playing in the gym stay in a video of the opening?
Check the video's music rights separately before publishing. Do not assume that permission to play music on the premises also covers using it in a marketing video. Source: Musiikkiluvat – Customer service and frequently asked questions
