Gym Music Subscription: What’s Included and What Costs Extra?
What does a gym music subscription include? Explore music rights, devices, extra zones and contract terms with Vibeful’s guide to comparing total costs.
A gym music subscription gives you access to a service’s music and the playback features covered by your plan. Playlists, management tools and support may also be included. To understand what you are paying for, check which music you can use, where you can play it and which features the price covers.
Alongside the monthly fee, check for any separate music licenses, equipment, installation and charges for additional spaces. Some of these may be included in your quote, others may cost extra, and some features may not be available in the proposed plan.
This guide explains how to read a quote and calculate your gym’s total music costs. The section on music licensing applies to Finland.
What can a gym music subscription include?
Start with the core service. Ask for a breakdown of the specific plan you are considering. The items below are things to check, rather than a feature list for any particular service.
| Part of the subscription | What should you check? |
|---|---|
| Music catalogue and playlists | Which music is included, and how is the catalogue updated? |
| Music player and playback devices | Which devices work with the service, and is a physical player included in the price? |
| Locations and music zones | How many locations and simultaneous playback sessions does the price cover? |
| Staff access | How many users can you add, and can you limit their permissions? |
| Scheduling and offline playback | Are the features you need available, and are they included in this plan? |
| Setup and support | What training, support channels and service hours are included? |
Listen to the music through your gym’s own speakers, too. Consider whether there is enough suitable music for your opening hours, members and different spaces. This helps you compare the subscription with how you will actually use it.
Why do locations, music zones and users matter?
When comparing prices, make sure you understand what each pricing unit means.
A location might be one gym. A music zone might be the reception, gym floor or a separate group exercise studio. A user is someone who manages the service, while simultaneous playback refers to music playing in more than one session at the same time.
One location can therefore have several staff users and need different music playing simultaneously. Describe these requirements separately when requesting a quote.
For example, the gym floor and reception might share the same music, while an instructor plays a separate selection in the group exercise studio. Ask how this setup would be priced and what equipment it requires. The number of speakers alone does not tell you how many separate playback sessions you need.
Are music licenses included in the subscription in Finland?
That depends on the service agreement, the music you choose and how you use it. Ask for written confirmation of the rights covered by the fee and anything you may need to arrange separately.
Musiikkiluvat’s Taustamusiikki kuntosalissa license covers the public performance of background music in gym customer areas. It is location-specific, with pricing based on customer floor area. Check whether it applies to your chosen music and use. Source: Musiikkiluvat – Taustamusiikki kuntosalissa
Musiikkiluvat offers a separate license for instructor-led exercise, priced according to weekly class numbers and exercise-space size. It excludes copying music. Rights for music streamed to remote participants also need to be checked separately. Source: Musiikkiluvat – Taustamusiikki ohjatussa liikunnassa
Tell the service about group classes, file copying and online sessions as well as background music. The written explanation of music rights should address each planned use.
What might cost extra?
For every part of the setup you need, ask for a clear answer: included, charged separately or unavailable in the proposed solution.
Equipment and installation. Find out whether you need a new playback device, adapters or changes to your existing sound system. Check whether equipment is purchased or rented and who handles installation. Ask for the music software and physical audio equipment to be listed separately.
Additional locations and different music in separate spaces. Ask whether adding a second gym or an independently controlled music zone would change the subscription price. Check how additions work during an existing contract.
Training and support. Confirm whether initial guidance is included and whether support also covers connecting equipment. If you need installation visits, additional training or a separate support package, ask for those prices.
Connectivity and upgrades. Include any new connections or network improvements needed to run the music. Keep these separate from costs your gym already pays.
Any separate music rights. Add the licenses and permissions identified as necessary beyond the subscription. This helps you avoid overlooking a cost or counting it twice.
Monthly price, billing frequency and contract length
Check three things separately: how the price is presented, when payment is due and how long you are committing for.
An advertised monthly price may be an equivalent figure calculated from an annual fee. Check whether you will be billed monthly or in advance for a longer period, and confirm the amount of the first invoice.
Also review:
- any minimum contract term
- the cancellation notice period and process
- renewal arrangements and price-change terms
- options for changing, expanding or potentially pausing the service
- equipment returns and the process when the subscription ends.
If a trial or introductory offer is available, confirm its duration, scope and what happens afterwards. Check the standard price that will apply once the offer ends.
How to calculate the total cost of a gym music subscription
Ask for one-off and recurring costs to be listed separately. Include all confirmed recurring charges: the service, necessary add-ons, any equipment rental and separate music rights.
If recurring monthly costs remain unchanged throughout the year, use this formula:
First-year cost = 12 × recurring monthly costs + one-off costs.
Hypothetical example, not Vibeful pricing: if all confirmed recurring costs total €70 per month and one-off costs are €120, the first year costs €960. These example amounts exclude VAT.
If the price, months of use or number of spaces changes during the year, calculate each period separately. Compare the same time period and usage requirements. Present amounts consistently either including or excluding VAT. List anything the estimate does not cover.

Frequently asked questions
Does a gym music subscription include a playback device?
Check the quote. The service’s player software, a separate playback device and your speaker system are different components. Ask what works with your existing equipment and what you may need to add.
Can one subscription cover the whole gym?
That depends on the agreement and how you use the music. Describe your location, music zones and simultaneous playback needs, then request a confirmed price for that setup.
Is an annually paid subscription always cheaper?
Compare the cost and terms over the full contract period. Consider any discount, when payment is due and how long you need the service. Also check what happens if your requirements change during the term.
Does the music service fee cover all music rights?
Ask for written confirmation covering the specific music and uses you have planned. Describe background music, instructor-led classes, copying and content published online separately.
Ask Vibeful for a breakdown based on your gym
Tell Vibeful about your locations, music zones, group exercise classes and existing playback equipment. Explain what your staff need to manage and whether you require offline playback.
Request a current breakdown of the subscription, music rights, equipment requirements and total cost. You can then assess Vibeful against what your gym needs day to day.
