How to Choose a Music Service for Your Gym: 7 Things to Compare

Choosing a music service for your gym? Compare music, licensing, total cost, offline playback and zones with a practical checklist for gyms in Finland.

Updated on 27 October 2026. This guide is for gyms operating in Finland.

Choose a gym music service by comparing music suitability, usage rights, total cost, offline playback, music zones, equipment compatibility and ease of use. Test the essential features in your own gym before committing to a contract.

Start with a typical working day: who starts the music, what do customers hear in different spaces, and what happens if the internet connection drops? These questions will help you find a service that fits your gym.

1. Does the music suit your customers?

Listen to more than a few sample tracks. Try the playlists in the morning, at peak times and during quieter periods. Pay attention to variety, lyrics and whether the music maintains the right atmosphere throughout.

Vibeful offers its own music for businesses through a subscription. As you explore the catalogue, consider the atmosphere you want in your gym: what suits reception, strength training and recovery?

Check whether you can skip tracks, save favourites and build your own playlists. Find out how often the music catalogue is updated.

Practical test: ask a member of staff to find one playlist for general gym use and another for recovery, without help.

2. Which music rights are included in the price?

Ask for a written explanation of which music and uses the agreement covers in Finland. Check gym background music, instructor-led classes and any online classes separately.

Copyright law protects, among other things, the right to perform a work publicly. Make sure the agreement clearly states which usage rights you receive and the purposes for which the music can be used.

Ask the provider: “Which licences or fees do we need to arrange separately, in addition to this agreement?”

3. What is the actual total cost?

Request a quote that itemises the subscription, any separate licences, additional zones, equipment and setup. Check whether prices include or exclude VAT.

If monthly charges remain the same throughout the year, use this calculation:

First-year total cost = 12 × all monthly charges + annually billed fees + one-off purchases and setup costs.

Count each charge only once. Make a separate calculation for the following year without the one-off costs.

Practical test: also request a total price for adding one music zone or a second location in the future.

4. Does the music work without internet?

If music must continue during an internet outage, confirm offline playback for the exact device and app you plan to use. Offline support can differ between playback options within the same service.

Also check how much storage is required and how failed downloads are shown. Ask for clear instructions on confirming that the entire playlist is ready for offline use.

Find out whether playlists need downloading in advance, how you can tell the download is complete, and how often the device must reconnect to the internet.

Test two different situations:

  • Disconnect the internet while music is playing.
  • Close the app and restart the device without an internet connection.

Music continuing briefly does not establish that the whole playlist is available offline or that playback can start without internet.

5. Can different areas play different music?

If reception, the weights area and the stretching space need their own playlists, ask for a setup with separate music zones.

Having several speakers or separate volume controls does not, by itself, mean you can play different tracks simultaneously. Ask the provider to demonstrate this.

An example layout with three zones:

AreaIntended atmosphereFeature to test
ReceptionCalm and welcomingSeparate playlist and volume
Weights areaSteady workout energyIndependent music selection
Stretching spaceRelaxed recoveryDifferent music playing simultaneously

Ask the provider: “What equipment and subscriptions do we need for this three-zone setup?”

6. Can you use your existing sound system?

Make a list of your current speakers, amplifiers and playback device. Send the model names and, if needed, photos of the connections to the provider.

Ask for a clear equipment list: what can be kept, what needs adding, and who handles installation? Also confirm that the recommended device supports the offline and zone features you need.

Practical test: connect the service to your existing sound system and test startup, volume and playback during a normal staff shift.

7. Is the service easy to use, and is the contract clear?

Ask a new member of staff to start the music, change the playlist and adjust the volume. You will quickly see whether each shift is likely to need extra help.

Also find out:

  • Which settings can staff change?
  • When is customer support available, and in which languages?
  • Is there a minimum commitment or a notice period?
  • Does the trial automatically become a paid subscription?

Ask the provider: “How do we get help if the music stops working in the evening or at the weekend?”

How to assess whether Vibeful fits your gym

Work through these seven points as you explore Vibeful. Explain your gym's needs and test the features you require using your intended equipment. Record what works, what needs additional purchases and where you still need more information.

Decide in advance which features are essential. For example, if playback must start without internet, make that a requirement for accepting the service. A good music catalogue alone will not meet that need.

Make your decision once you have the rights explained in writing, a price for the complete setup and the results of a trial in your own gym.

Frequently asked questions

What is the best music service for a gym?

The best option depends on your customers, spaces and daily operations. Start with essential features, then compare the music, usability and total cost.

Does every speaker need its own subscription?

Do not calculate subscriptions based on the number of speakers. Check how the service charges for locations and independent music zones. Ask for a quote covering your complete audio setup.

Can you use the gym's existing computer?

Possibly. Confirm the supported operating system, app or browser, audio connection and storage requirements. Test the features your gym will use every day at the same time.
